Job Summary

The Development Assistant/Receptionist represents the organization to the public by handling incoming telephone calls and greeting visitors in the National office. The Receptionist is responsible for providing in an effective and efficient manner clerical and general administrative support to the organization as defined in the responsibilities below.


  1. Open office doors at 8:30 a.m. and close at 5:30 p.m. daily.
  2. Handle all incoming telephone calls during designated time period directed to the Operator, including the 800 lines, in a professional and courteous manner.
  3. Greet and receive office visitors in a professional and courteous manner.
  4. Maintain cleanliness and organization of the supply room and kitchen area. Oversee the functionality of all machines in the supply room to make sure they are operating properly, if not, request service.
  5. Manage incoming and outgoing mail, including express mail and next-day shipments to/from staff members.
  6. Maintain office supplies inventory and place supply orders as necessary.
  7. Lend additional office support, such as photocopying, word processing, faxing, mailings and executing shipments as needed/available, building requests, postage reports, etc.
  8. Complete check requests, purchase orders and expense reports for the Communications department.
  9. Assist with some administrative support to the Director, Leadership Giving.
  10. Assist leadership in managing calendars and scheduling travel on an as needed basis.
  11. Open daily gift mail with the Data Entry Specialist, make the daily deposit and send daily gift forms to appropriate development staff.
  12. Complete all matching gift request forms, verify gifts, send in any additional information needed and set up pledges in Raiser's Edge.
  13. Complete and send in America's Charities state charitable applications.
  14. Process, print and mail weekly, workplace giving and post-event acknowledgements.
  15. Provide data entry support to the Development Department; input checks and cash into Raiser's Edge and Sphere.
  16. Forward and donation e-mails to appropriate staff.
  17. Support field staff in creating and/or resetting donor database passwords.
  18. Assist in answering SiteHelp e-mails, including requests from field staff when applicable.
  19. Assist the field staff in completing and filing expense reimbursement forms on an as needed basis.

Education and Experience

  • Bachelor's Degree in related field and/or relevant work experience
  • At least 1 year of receptionist or comparable experience
  • Knowledge of administrative and clerical procedures
  • Knowledge of computers and relevant software applications
  • Knowledge of customer service principles and practices
  • Proficient with Microsoft applications (i.e. Word, Excel)
  • Working knowledge of fundraising databases/data entry experience a plus
